We currently have an opening for a Senior Administrative Assistant. This is a hybrid office-based position (2 days work from home; 3 days in the office) in Bedminster, NJ.

Role Description:

Reporting to the SVP, Americas Commercial Operations, theSenior Administrative Assistant is responsible for assisting and providing administrative support, managing communication, handling executive tasks, and utilizing administrative skills to ensure efficient operations for Commercial leaders and the local office.

More specifically, you will:

  • Handle SVP calendar management: coordinate and organize appointments and travel arrangements
  • Serve as primary point of contact for internal and & external stakeholders
  • Create content and distribute communications on behalf of the SVP, Americas Commercial Operations
  • Plan and execute executive team meetings, manage agendas, and follow-up as needed
  • Provide support with coordinating sales meetings and other leadership meetings as needed; coordinate office events
  • Provide support for local allergy conferences
  • Arrange domestic and international travel for SVP
  • Manage and submit expense reports for SVP
  • Collaborate with Global Headquarters to support global travel function; serves as system administrator for North America
  • Maintain existing vendor relations; establish new vendor relationships
  • Serve as point of contact for building management, i.e. issue key cards, office maintenance/repairs
  • Manage office supply inventory
  • Maintain Pitney Bowes meter
  • Manage promotional material inventory
  • Support administrative processes for sales teams
  • Must be able to travel to Commercial meetings (-1-2 times per year)
  • Additional responsibilities as assigned Essential Skills & Experience:
    • High school diploma or GED equivalent
    • 3-5 years of experience as an administrative assistant or similar role responsibilities
    • Exceptional interpersonal skills; ability to handle situations with tact and diplomacy
    • Strong organizational and time-management skills
    • Excellent verbal and written communication skills
    • Customer service oriented
    • Ability to establish priorities, meet deadlines, and handle competing tasks/projects
    • Experience with expense reporting system (Concur) ALK offers:
